We guarantee that your personal data will be collected, processed, protected, and stored in accordance with the applicable national legislation of the Republic of Slovenia (the Personal Data Protection Act, Electronic Communications Act, and Electronic Commerce Market Act, as in force from time to time), applicable European legislation (General Data Protection Regulation – GDPR), and the provisions of this Privacy Policy (hereinafter referred to as the “Policy”).

The purpose of this Policy is to inform you about the purposes for which your personal data will be collected, how it will be used, what your rights are regarding the data we hold about you, and how to exercise them. We may update this Policy from time to time; however, we will inform you prior to any further processing activities if the changes affect the processing of personal data already collected from you.

We undertake that the collected personal data will be used solely in accordance with this Policy, that we will protect the confidentiality of your personal data, and that we will use the collected data exclusively for the purposes for which it was provided. We will not disclose your personal data to unauthorized third parties without your explicit consent. Bojan Hajdinjak (hereinafter referred to as: Cene Štupar – CILJ or Controller). Cene Štupar – CILJ is one of the leading adult education institutions in Slovenia. II. What Personal Data Do We Collect and Process, and for What Purposes?

Cene Štupar – CILJ collects your personal data in the following cases:

1. Website Visit

When you access our website, your browser automatically transfers certain data to our web server. These data transfers occur for technical reasons and are necessary to ensure access to the requested information on the website. To ensure the security of our IT system, we automatically collect the following data in web logs. You have no influence over this collection as it is technically required for the operation of the web protocol or generated on our servers:

1. Your IP address (mandatory technical requirement of the TCP/IP protocol),

2. Date and time of access (according to our server time),

3. Time zone (set on our server),

4. Content of the request – information on the page requested on our website (mandatory technical requirement of the HTTP protocol),

5. HTTP response code / processing result (determined by our server after receiving the request from your web browser/client),

6. Amount of transferred data (as determined by our server before sending data to your web browser/client),

7. Referring web page requesting access (where provided by your browser; please check your browser instructions if and how you can prevent this),

8. Information about the browser used (version of the operating system and browser software, language settings, and other data transmitted by the browser according to your settings).

Without providing the technically mandatory data listed above, which will also be logged in our web server logs, you cannot technically use our website.

We collect this data to ensure the provision of services and the security of our website, network, and information, with the aim of preventing accidental events, unlawful, or malicious acts. This processing is necessary for our legitimate interests and is based on Point (f) of Article 6(1) of the General Data Protection Regulation (GDPR) in conjunction with Recital 49 of the GDPR. We will process web log personal data for a maximum of 12 months, after which the log data will be deleted unless we have another legal basis for further processing.

When subscribing to the Cene Štupar – CILJ e-newsletter, in addition to your IP address, we process your email address entered into the online form, as well as the date and time of subscription.

Cene Štupar – CILJ processes this data exclusively to inform you about news in your selected field and to send invitations to events. By using personalized links and images embedded in the e-newsletter, we also collect data regarding read newsletters and visited links contained within the sent newsletters.

Your email address data is stored until you unsubscribe from the email notification service. You can unsubscribe from e-newsletters at any time by clicking the unsubscribe link in any received email or by requesting unsubscription at info@cene-stupar.si (or preklic@cene-stupar.si).

We process personal data (email address) based on your valid consent (Article 6(1)(a) GDPR), or based on Article 6(1)(f) GDPR if a contract has been concluded with us. When filling out the newsletter subscription form, you check the box agreeing to allow Cene Štupar – CILJ to use your email address to inform you about news and activities in your chosen field, acknowledging that you can unsubscribe from the messaging system at any time by clicking the “Unsubscribe” link in received emails or writing to info@cene-stupar.si (or preklic@cene-stupar.si). If you do not check the agreement box, Cene Štupar – CILJ will not send notifications to your email address, nor collect or process it. Cene Štupar – CILJ uses a double opt-in system for newsletter subscriptions, sending emails only to individuals who explicitly consent to receive electronic notifications.

2. Submitting an Informational Application

You can submit an informational application via the Cene Štupar – CILJ website to obtain information, register, or make an inquiry sent to the email address of Cene Štupar – CILJ or its staff. In the “Informational Application” online form, in addition to the “message” field, the following fields are mandatory: “First and Last Name”, “Date of Birth”, “Municipality of Residence”, “Email Address”, and “Phone Number”.

You must also explicitly confirm your agreement and awareness that by submitting the informational application form and entering your details, you agree that your data (first and last name, date of birth, municipality of residence, email address, phone number, personal message) will be stored in our database for 2 years following submission for the purposes of handling inquiries, registration, or providing information (maintaining participant records for education/activities and ensuring proper communication), and that you may request data deletion at any time. Requests for deletion can be sent to info@cene-stupar.si. If you do not agree to the privacy policy, your informational application will not be successfully transmitted.

Cene Štupar – CILJ requires your personal data to answer inquiries or questions regarding educational programs or activities. Data entered in the form will only be processed as necessary for operations and archiving.

3. Communication via Online Contact Forms (Contact Form and “Tawk.to” Widget)

You can contact us via online forms on the Cene Štupar – CILJ website to inquire about services or send questions to our email address. When filling out the contact form and entering a personal message (interests, feedback, or questions), the mandatory fields are: “First and Last Name”, “Email Address”, and “Message”.

You must explicitly confirm agreement and awareness that by sending an inquiry or feedback via the contact form, you agree that your data (first and last name, email address, personal message) will be stored in our database for 2 years following submission for participant record keeping and proper communication. You may request data deletion at any time by emailing info@cene-stupar.si. If you do not agree to the privacy policy, your inquiry will not be successfully transmitted.

Cene Štupar – CILJ requires your personal data to answer inquiries regarding educational programs or activities and processes entered data only as necessary for operations and archiving.

III. Cene Štupar – CILJ Will Contact You in the Following Cases:

• If you subscribe to our e-newsletters;

• If you submit an informational application via the website and provide contact details, Cene Štupar – CILJ will reply to your application and provide feedback. We may also contact you to clarify facts regarding the application;

• If you send a contact form (“Write to Us”) or a message via the Tawk.to widget asking a question or offering feedback along with your contact details, Cene Štupar – CILJ will answer your inquiry. (The Data Protection Officer may also contact you if clarification regarding a submission is necessary).

You are not obliged to provide personal data to us; however, if you choose not to, we may be unable to perform certain services for you or conclude a contract with you. We will indicate which data is mandatory whenever we collect personal data from you. All personal data provided will be treated confidentially and used solely for the purposes for which it was collected. If a need arises to further process your data for another purpose, we will contact you in advance to request your explicit written consent.

XI. How Long Do We Store Your Personal Data?

We commit to storing and using your personal data only for as long as necessary to fulfill the purpose for which it was collected and further processed. Upon expiration of the retention period, your personal data will be effectively and permanently deleted or anonymized so that identification is no longer possible.

• Statutory basis: Data processed on the basis of statutory obligations is retained for the period prescribed by law.

• Contractual relationship: Data processed to execute a business or contractual relationship is retained for the duration of the contract and throughout the applicable statutory limitation period for legal claims arising from such contracts, unless a dispute arises regarding the relationship.

• Consent / Legitimate interest: Personal data processed based on consent or legitimate interests (e.g., sending e-newsletters or event invitations) is retained until you revoke consent or request to cease processing. Data will be deleted prior to revocation only if the processing purpose has already been fulfilled or if required by law.

• Accounting/Tax records: Where specific accounting or tax retention periods apply to contract execution data, the retention period is 10 years from the year the invoice was issued. During this period, processing is restricted.

XII. Concluding Provisions

Cene Štupar – CILJ undertakes to protect the confidentiality of website users’ personal data.
